Challenge

The Cuyahoga County Sheriff's Department is seeking a easy-to-use solution to streamline the process of selecting work assignments and vacation time for our corrections staff.

Background

The Cuyahoga County Sheriff's Department operates a biannual process for approximately 700 employees to select their work assignments and vacation time. Currently, this process is conducted in-person and follows a round robin format.  Employees unable to be present for this process may make requests in writing or by proxy of a union representative. Seniority is the determining factor in order of selection. All work assignments and vacation requests are recorded on paper, then work assignments are manually entered on Microsoft Excel spreadsheets. Vacation requests are shared with the Department of Human Resources while also being maintained by the Sheriff's Department in hard copy.

Requirements & Outcome

The Sheriff's Department is seeking an application that will enable the process of selecting work assignments and vacation time to be carried out electronically. A desirable solution also includes these features:

  • A dashboard that enables department leadership to visualize time and attendance data (including time off) at various levels of aggregation, from the department overall down to a single employee,
  • A component to assist in daily scheduling, including tracking by the minute those who receive mandated overtime, and
  • The ability to assist with scheduling in-service training based on a predetermined staffing level.
